Planning who is needed on each day

Sets, the crew each shoot day needs, who is held or confirmed, and what happens when the schedule moves.

The Production Board has two tabs for planning the days themselves: Day plan and Sets. Anyone who can edit the schedule can change them; everyone on the production can read them.

Sets

On Sets, add the studio sets, locations and practicals the film shoots on. A built set can carry when construction starts, when it must be ready and when it is struck. A day scheduled on a set before it is ready, or on or after its strike date, shows a warning — on the set and on the day.

The Day plan

The Day plan lists every shoot day with how many people are booked, what it is short, and how many people still need telling about a change. Pick a day to plan it. The chosen day is part of the page address, so you can send someone a link to Day 12's plan.

For each day:

  • Sets — tick the sets the day uses. A company move is two.
  • Needed — how many of each role the day needs. The day's scenes suggest specialists with a reason: a night exterior suggests a generator operator and extra electricians; stunts, VFX, practical effects, picture vehicles and wardrobe in the breakdown suggest their specialists; a scene whose heading says it is a song suggests a choreographer. Add a suggestion or ignore it — nothing is added on its own.
  • Booked — pencil people from your crew in on hold, then confirm or release them. Each requirement shows how many are confirmed and on hold, and the day shows what it is still short. A hold counts against the shortfall: it is somebody pencilled.

When someone cannot be booked

If a person has told you they are unavailable on the day's date, or is already booked on another of your productions that date, booking them is refused with the reason. You can Book anyway if you have sorted it out.

Record unavailable dates on the person's page in My Crew, under Record → Unavailable.

When the schedule moves

If a shoot day's date changes, everyone held or confirmed on it is flagged. People with a ScenePaper account get a notification straight away; the day's plan lists everyone else with their phone number so you can call them. Confirm each person again once they know, and the flag clears.

Hold days

What a hold day pays is the production's rule — unpaid, a quarter, a half or a full day of the person's roster day rate. The owner, a producer or a line producer sets it on the Day plan, and each day shows what its holds cost. People on a contract fee add nothing.

Call sheets

When you fill a call sheet from the roster for a day that has a plan, it takes the people confirmed for that day. A day with no confirmed bookings still takes everyone on the roster for its date.
